Topo’s notification system keeps you and your team informed about the moments that matter most — a prospect who just replied, a hot lead that crossed the engagement threshold, or a sender account that needs attention. You can receive these alerts by email, in Slack, or both, depending on your preferences and your organization’s setup. Notifications are configured at two levels: organization-level settings that apply to all members (like the Slack integration), and per-user preferences that each person controls for their own inbox.

Alert Types

Topo sends four categories of notifications:

Hot Lead Alerts

Triggered when a contact reaches a high engagement score — for example, opening multiple emails or clicking a link repeatedly. These are your highest-priority prospects.

Reply Alerts

Sent when a contact responds to an email or a LinkedIn message. Topo categorizes replies automatically (interested, not interested, out of office, etc.) so you can prioritize follow-up.

Task Reminders

Reminders for upcoming manual tasks in your sequences — such as a scheduled phone call or a manual email that requires your personal touch.

System Alerts

Operational notifications about your campaigns and senders — for example, a sender account that has been disconnected or a campaign that has stopped due to an error.

Email Notifications

Email notifications are delivered to each user’s account email address. You can choose which alert types trigger an email. To configure your email notifications, go to Settings → Profile → Notifications and toggle on or off each event type:
  • Hot lead detected
  • New reply received
  • Upcoming manual task (with configurable lead time)
  • System alerts (sender disconnections, campaign errors)
If you’re using the Slack integration for real-time alerts, consider turning off duplicate email notifications for the same event types to reduce inbox noise.

Slack Integration

Connecting your organization’s Slack workspace lets Topo post real-time alerts to a channel of your choosing. This is especially useful for shared visibility — for example, a team #sales-alerts channel where everyone can see hot leads and replies as they come in.

Open Notification Settings

Go to Settings → Organization → Notifications.

Connect Slack

Click Connect Slack. You’ll be redirected to Slack to authorize the Topo app.

Authorize the app

Select the Slack workspace you want to connect and click Allow. You’ll be returned to Topo automatically.

Choose a channel

In the Post to channel dropdown, select the Slack channel where alerts should be posted. You can pick a public channel or a private channel (as long as the Topo bot has been invited to it).

Select event types

Toggle which events post to Slack. You can enable any combination of hot lead alerts, reply alerts, and campaign completion summaries.

Save

Click Save. Topo will post a confirmation message to the selected channel to verify the connection.
Only one Slack workspace can be connected per Topo organization. If you need to change the connected workspace, disconnect the current one first from Settings → Organization → Notifications, then reconnect with the new workspace.

Per-User Notification Preferences

Each team member can customize their own notification preferences independently of the organization defaults. This lets individual reps decide how and when they want to be notified without affecting their teammates’ settings. To manage your personal preferences:
  1. Click your avatar or name in the bottom-left corner of the sidebar.
  2. Go to Settings → Profile.
  3. Open the Notifications section.
  4. Toggle each alert type on or off and choose your preferred delivery method (email, in-app, or both).
Yes. In your personal notification preferences, you can scope alerts to my sequences only so you only receive notifications for contacts assigned to sequences you own. Organization-level Slack alerts, however, cover activity across all team members.
In addition to email and Slack, Topo shows a notification badge in the app’s top navigation bar. Clicking it opens a feed of recent alerts. In-app notifications are always on and cannot be disabled — email and Slack are the channels you can customize.
Check these common causes:
  • The Topo Slack app may not have access to the channel. If the channel is private, invite the Topo bot (/invite @Topo) before selecting it.
  • The organization Slack integration may have been disconnected. Go to Settings → Organization → Notifications to verify the connection status.
  • The specific event type may be toggled off. Review the event toggles in the same settings panel.
